Sample Submission Guide

Sending samples to our scanning centres is straightforward. 

Follow these simple steps to get your coffee samples scanned:

Step 1: Create Your ProfilePrint Lite Account

Sign up to receive your 3 free welcome credits and start your quality assessment journey.

Step 2: Complete the Scanning Request Form

Fill in this form with:

  1. Your name and company details
  2. Your ProfilePrint account email
  3. Number of samples you’re sending
  4. Details for each sample:
    • Lot name (this becomes your Digital Lot name on the platform)
    • Region and Country of origin
    • Cultivar
    • Processing method
  5. Which scanning centre you’ll ship to

After you submit the form, you’ll receive a confirmation email with your sample details.

Step 3: Pack Your Samples

Sample Requirements

• We accept only 100% Arabica green coffee beans
• We require at least 150g of coffee beans per lot

How to pack:

  1. Prepare the coffee sample according to your sampling or grade specification, if any (e.g. screen size, primary and secondary defect count etc.)
  2. If you do not have a specification or standard, ensure that the samples are:
    –  Free from strange odour, foreign matter, pests and bugs
    –  Free of sensory and visual defects
  3. Place each 150g sample separately in a clean and transparent, well-sealed bag (e.g. a Ziplock)
  4. Label each bag with:
    a. Sample # – Lot Name (per above request form, i.e. Sample 2 – Lot ABC)
    b. ProfilePrint Account User ID (as per above request form)
  5. Pack all the individual sample bags into a single packaging for shipment

Step 4: Ship to Your Chosen Scanning Centre

Select the scanning centre nearest to you and ship your package. We’ll notify you when your samples arrive.

Before you ship, please check both export regulations in your country and import requirements at the destination, to ensure that your sample can be imported into the country of the selected scanning centre. Make sure to complete your shipping documents accurately to facilitate customs clearance.

Step 5: Submit Your Tracking Number

Option 1:
During shipping, copy the following emails in your shipment tracking notification

• Scanning centre contact email shown above

Option 2:

We’ll notify you by email once your samples arrive at our scanning centre. 

What Happens Next

We’ll receive and scan your samples (typically within 2 working days of receipt)

You’ll receive a notification when your digital lots are ready in your Lite account
